Show DocuWare Documents Straight from Your ERP, CRM & Accounting - Integration at the Push of a Button

The customer is on the phone, the posting is open, the case is on screen - and the corresponding document? It lives in DocuWare. In many companies that means: switch windows, open the archive, type a search term, click through the hits. With our integration solution ShowDoc, this detour disappears completely: one keystroke in your application, and the archived document is on screen - straight from your ERP, CRM, accounting or industry software.

One call is all it takes

The principle is deliberately simple: ShowDoc is invoked as a lean program with a search value - the document number, the customer number or directly the DocuWare document ID. Everything else happens automatically: the solution searches the configured file cabinet and displays the hits immediately.

Practically any application can be connected this way: a function key in the ERP, a button in the industry software, a macro in the accounting system - wherever a program call can be triggered, the document is just one keystroke away. The application itself does not need to be modified.

Dynamic searches are possible too: instead of a fixed search field, the call can pass a freely defined query - for example all documents of one customer from a given period.

Our viewer as the default - for good reasons

By default, ShowDoc displays the hits in our own lean viewer - no search masks in between, with a result list when there are multiple hits. Betting on our own viewer here is a deliberate choice, for very practical reasons:

  • Always at the same screen position: The viewer opens exactly where it belongs - the document reliably appears next to the posting screen instead of in a wandering browser tab. Our customers love exactly that, above all the accountants who check hundreds of documents a day.
  • Fast scrolling: The viewer is built for a brisk pace - smooth paging and scrolling even with large documents.
  • Direct integration into the third-party software: The viewer blends into the workplace and becomes part of the familiar workflow - no window switching, no searching.

The viewer brings everything users need day to day: paging, zooming, rotating, full-page and full-width view, stamps and annotations, the index data at a glance and a history of recently displayed documents. Documents can be printed, downloaded as PDF or sent directly by e-mail - the whole document or just the current page. Those who need more jump into the DocuWare Web Client with one click, copy the document to a document tray or append additional pages via drag and drop.

Especially handy: linked documents let users jump straight to related records - from the invoice to the delivery note, from the contract to the correspondence. Even across multiple linked file cabinets.

And for those who prefer working in the browser: ShowDoc can also invoke the DocuWare URL Integration - the result list then opens directly in the DocuWare Web Client.

Cloud, On-Premise, single sign-on

The solution works with DocuWare Cloud and On-Premise alike - cleanly through the official DocuWare Platform API. Several sign-in options are available: username and password, Windows login or identity provider (single sign-on). Credentials are stored encrypted or deliberately requested at every start - whatever your security policy demands.

Multiple file cabinets, multiple clients, multiple applications? No problem: each call simply selects the matching configuration. And because international teams work with it, the interface speaks not only German and English but also Danish, Croatian, Polish and Swedish, among others.

Proven for more than 15 years

This kind of integration is nothing new for us: we have been connecting third-party applications to DocuWare this way for more than 15 years - and ShowDoc runs in production at our customers with a wide range of systems: from AS/400 applications through Immodat, Vendoc, Zkalk, Trade Control and BMD to EuroFib and SAP. Which applications can be connected?

Does it work with DocuWare Cloud and On-Premise?

Yes, both. Users sign in with username and password, via their Windows login or through an identity provider (single sign-on). Credentials are stored encrypted or requested at startup - depending on your security requirements.

What does the user see after the call?

By default our lean viewer, which displays the matching documents immediately - always at the same screen position, with fast scrolling, a result list for multiple hits, index data, stamps and annotations, paging, zooming and rotating. On top of that come printing, sending by e-mail, PDF download, a history of recent searches and a one-click jump into the Web Client. Alternatively, the call can use the DocuWare URL Integration and open the hits directly in the Web Client in the browser.

Can multiple file cabinets be searched as well?

Yes. The solution is built to be multi-client capable - each call can select its own configuration with file cabinet, search field and login. Linked file cabinets can be searched together, and linked documents let users jump straight to related records, for example from the invoice to the delivery note.
