What do you do with requirements no standard connector covers? Build them from building blocks. DWUtils is our automation platform for DocuWare: workflows call chains of more than 55 task building blocks via REST — from index updates and PDF or Word processing to AI extraction and e-signature. We see the platform as a replacement for Zapier or n8n: just as flexible to chain, but robust in continuous operation, hosted by you or us — and it simply works through whatever comes, without task limits or volume pricing. And since every building block is a standalone function, all of it works without DocuWare too — from barcode recognition to Word/Excel creation; validation of index values is also available as a cloud service.

What sets the platform apart

Building blocks instead of one-off solutions

More than 55 generic task building blocks — DocuWare operations, workflow control, PDF, Office, email, integrations — are chained by configuration; every step passes its result to the next. Called directly from the DocuWare workflow: synchronously (the workflow can branch on the result), queued, or in the background with a job ID.

Like Zapier or n8n — just without limits

You know the concept from Zapier and n8n. The difference is in the operation:

  • Self-hosted — your documents never travel through a third-party cloud
  • No task quotas, no volume pricing: the platform works through whatever comes
  • Robust in continuous operation: persistent queues, automatic retries with backoff — jobs even survive a restart
  • Specialized in DocuWare instead of generic: the building blocks know file cabinets, index fields, workflows and stamps

Self-documenting — with a task builder

The task catalog generates itself from the code — with parameter descriptions and samples. A dedicated task builder clicks the configuration for your workflow together: pick a building block, fill the parameters, take the JSON. New building blocks appear in the catalog automatically.

Scheduled jobs included

Besides workflow calls, the platform runs scheduled jobs: nightly accounting exports, automatic stamping runs, quota monitoring with warning emails, GDPR clean-ups — on cron schedules, per tenant.

Monitoring: we notice before you do

The platform includes its own monitoring agent that proactively watches our customers’ systems — with 14 check types from Windows services to certificates, disk space, SQL, IIS and scheduled tasks. Warnings automatically create tickets in our support system, and if an agent stops reporting, the platform raises the alarm itself. The agent is cryptographically signed, updates itself and delivers its reports without gaps even after a connection outage. The full disk gets noticed before the workflow stops.

Frequently asked questions

What distinguishes DWUtils from Zapier or n8n?

The concept is the same: chaining building blocks into automations. The difference is in the operation: DWUtils is specialized in DocuWare, runs self-hosted — your documents never travel through a third-party cloud —, works robustly in continuous operation with persistent queues and automatic retries, and there are no task quotas or volume prices.

How does DocuWare call the platform?

Via REST straight from the workflow — in three ways: synchronously (the result is immediately available to the workflow for branching), queued, or in the background with a job ID for long runs.

Do we need DocuWare to use DWUtils?

No. Every building block is a standalone function and can be used without DocuWare — such as barcode recognition, Word/Excel creation or PDF processing. Validation of index values is additionally available as a cloud service. DocuWare is the most common caller — but not a prerequisite.

What if a building block is missing?

Then we build it — customer-specific building blocks are a fixed part of the concept; more than 20 already exist. New building blocks appear automatically in the catalog and the task builder.

Where does the platform run?

As a Docker deployment — on your infrastructure or in our data center. It works with DocuWare Cloud and on-premise alike.

How do we keep track of the runs?

Every run is fully recorded: which steps, how long, with which result. Add central structured logging — when questions come up, what a job did is traceable in minutes.
