Document Creation in the Workflow

DocuWare add-on

Document Creation in the Workflow

An applicant is accepted in the workflow — and the employment contract writes itself: our solution creates documents directly from DocuWare workflow tasks. From stored templates and the document’s index data, finished contracts, delivery notes or order confirmations emerge — dynamically as Word or Excel files, triggered by a new document or a form submitted via DocuWare Forms.

What the solution delivers

Documents emerge in the workflow

Creation is triggered directly from the DocuWare workflow — for example when a new document arrives, a form is submitted via DocuWare Forms or a case reaches a defined status. No switching to Word, no copying things together.

Template + index data = finished document

You provide your templates — we connect them with the document’s index data. Names, dates, amounts and terms fill the placeholders automatically: the template becomes a finished, correct document without copy-paste errors.

Word and Excel, dynamic

The solution dynamically generates Word and Excel files — from multi-page contracts to tabular statements. Layout and formatting come from your template, the content from DocuWare.

Examples from practice

Typical use cases:

  • Employment contract created automatically once an applicant is accepted in the HR workflow
  • Sales contract when a sale has taken place
  • Delivery notes and order confirmations from running cases

Frequently asked questions

Which file formats can be created?

Word and Excel files — generated dynamically from your templates. You define layout and formatting in the template; the content comes from the index data.

What triggers the document creation?

A workflow task in DocuWare — for example a newly received document, a form submitted via DocuWare Forms or a reached status such as “applicant accepted”.

Where does the document content come from?

From the index data of the triggering document or form — names, dates, amounts and further fields fill the template’s placeholders automatically.

What happens to the created document?

It is stored in DocuWare and immediately available there — for the further workflow, approval or dispatch.
