DocuWare + Vendoc
DocuWare + Vendoc
Vendoc produces documents continuously — quotes, orders, delivery notes, invoices. Our integration brings them into DocuWare automatically: whenever a document is printed or sent in Vendoc, Vendoc hands it to the archive with its index entries — versioned and, if desired, with the letterhead placed behind it. The way back works too: query documents directly in Vendoc, assign signed delivery notes via QR code, read incoming invoices with AI and hand them to Vendoc including line items.
What the integration delivers
Archiving on printing or sending
Whenever a document is printed or sent in Vendoc, Vendoc hands it with index entries directly to DocuWare. Our versioning logic takes over there — changed documents update the previous version traceably instead of creating duplicates. On request we place the letterhead behind the document: what is archived is exactly what the customer received.
Document queries directly in Vendoc
Archived documents can be queried from within Vendoc: all documents for an order, customer, supplier or project — and more. Particularly valuable when incoming invoices are assigned accordingly: Vendoc then shows the complete document history of a case without anyone switching to the archive.
Signed delivery notes via QR code
Delivery notes land in DocuWare automatically, carrying a QR code. When the customer signs physically, the signed delivery note is simply scanned — and automatically assigned to the right document via the QR code. No searching, no manual matching: original and signed copy belong together.
Incoming invoices: AI reads, Vendoc takes over
The other direction is covered as well: incoming invoices are read with AI — and we hand the line items including document data directly to Vendoc. No duplicate data entry in the ERP.
Why DocuWare as the archive for Vendoc?
Other archive solutions are also found around Vendoc. We deliberately rely on DocuWare:
- Company-wide archiving: one archive for everything — Vendoc documents, emails, contracts, personnel files. Not just an ERP appendage.
- True cloud: DocuWare runs in the cloud — no server maintenance of your own, always up to date.
- A continuously modernized product: workflows, forms, AI connectivity and an open REST API keep evolving.
- Independent of the ERP vendor: the archive does not belong to the ERP maker — it remains, even if your merchandise management changes one day.
- An established vendor: DocuWare has existed since 1988, document management is its core business — certified many times over (including ISO/IEC 27001, DocuWare Cloud audited repeatedly) and, as part of the Ricoh group, set up for the long term.

Frequently asked questions
When does a document get archived?
Whenever it is printed or sent in Vendoc — fully automatically and with its index entries. If a document is changed and issued again, versioning takes over: the new copy replaces the old one traceably, the history is preserved.
What are the prerequisites?
The Vendoc “DocuWare” module, plus extensions and database views that we build individually to your requirements — and our filing logic in DocuWare for efficient archiving. We clarify the details together with our Vendoc partner.
How does it work with signed delivery notes?
The delivery note is created with a QR code and lands in DocuWare automatically. After the customer signs physically, it is scanned and automatically assigned to the right document via the QR code — the proof is complete without any manual work.
Can incoming invoices land in Vendoc automatically?
Yes — incoming invoices are read with AI, and we hand the line items including document data directly to Vendoc. Combined with the document query, Vendoc then sees the complete case: from the order to the assigned incoming invoice.
Why DocuWare and not another archive?
Because DocuWare is more than a document tray for the ERP: a company-wide archive for all documents — from Vendoc records to emails, contracts and personnel files —, operated as a true cloud solution, continuously modernized (workflows, forms, AI, open REST API) and independent of the ERP vendor. Add the vendor itself: DocuWare has existed since 1988, document management is its core business — certified many times over (including ISO/IEC 27001) and, as part of the Ricoh group, set up for the long term. Your archive remains, even if the merchandise management changes one day.
Who handles adjustments on the Vendoc side?
We cooperate with a Vendoc partner from Klagenfurt and have experienced Vendoc developers at hand — both sides of the interface come from a well-rehearsed collaboration. Everything else is tailored per project, because ERP integrations are always individual.
