XML orders processed automatically
A customer receives orders from their customers as XML via FTP. Our sister company ZCS GmbH provides the FTP server securely; as soon as an XML arrives, we generate a readable PDF from it, store it in DocuWare and hand the XML over via DocuWare as a data file to the ERP system — where it is read in automatically. People see a clean PDF, the system gets structured data — without a single manual step.
Vehicle diagnostic protocols: audit-proof and searchable
A car retail group with more than 16 locations has to prove diagnostic protocols of serviced vehicles to a well-known German manufacturer — for audits and inspections. Our solution files the protocols of all testing devices into the central DocuWare automatically every day. On top, we built a dedicated web portal:
- Intranet page with Microsoft 365 login — no extra password
- Search by VIN, model, license plate and more — no DocuWare knowledge required
- Across locations and brands: one central protocol portal for the whole group
- During an audit, every protocol is found in seconds
Trade Control / PCS: ERP + field sales
For a construction company we implemented, together with PCS, the automatic filing from Trade Control: quotes, orders, delivery notes and invoices are fetched continuously and archived in DocuWare. In addition, the customer wanted a quotation process: field staff capture construction site details on-site in a third-party web tool — our development fetches the data there, stores it in DocuWare, and quotes are created from it in Trade Control. Three systems, one continuous process.

Frequently asked questions
Which systems can you connect?
Practically all of them: via the DocuWare REST API, databases, file interfaces (XML, CSV, FTP) or web services we connect ERP, merchandise management, industry and in-house systems. If a system can deliver or receive data, we will find the way.
What does a custom interface cost?
That depends on the scope — after the analysis you receive a transparent offer. A lot is feasible with manageable effort because we build on proven components from earlier projects.
Do our users have to know DocuWare?
Not necessarily. As the diagnostic protocol portal shows, we build dedicated interfaces with Microsoft 365 login where needed — users search by VIN or license plate while DocuWare works invisibly in the background.
Who maintains the solution long-term?
We do — every solution is documented, update-safe and built cleanly on the DocuWare platform. We implement extensions and adjustments continuously as your process changes.
