Document Management

Basics

What is a document management system (DMS)?

A document management system (DMS) captures, manages and archives all of a company’s documents in one central place – from incoming invoices and contracts to personnel files. Instead of being scattered across paper folders, e-mail inboxes and network drives, documents are digitally structured, findable in seconds and archived audit-proof.

On top of that come digital workflows: approvals, reviews and handovers run automatically instead of via e-mail ping-pong. You always know where a document stands, who approved it and what happens next.

Benefits

What does a DMS do for your company?

Find everything in seconds

Full-text search across all documents – even scanned records become searchable via text recognition (OCR). No more digging through folders, inboxes and filing cabinets.

Audit-proof archiving

Documents are archived immutably and traceably – exactly as statutory retention requirements in Austria (e.g. under BAO and UGB) demand.

Work GDPR-compliant

Access rights, deletion concepts and logging are managed centrally – personal data stays protected and disclosure obligations remain fulfillable.

Automated workflows

Invoice approvals, contract reviews or leave requests run digitally – with reminders, delegation rules and a complete history.

Work from anywhere

Office, home office or a second location: everyone authorized accesses the same, up-to-date document base securely.

Save costs and space

Less paper, less filing time, no archive rooms – a DMS often pays for itself within the first year.

Frequently asked questions

What is the difference between a DMS and a file system?

A file system stores files in folders – without versioning, full-text search or access logs. A DMS indexes every document, logs changes, controls permissions and maps approval processes as digital workflows.

What does a document management system cost?

Costs depend on the number of users, document volume and operating model (cloud or on-premise). In a free initial consultation we provide a realistic estimate for your situation – you can also find details in our blog post on DocuWare costs for SMEs.

Is a DMS worthwhile for small companies too?

Yes. SMEs in particular benefit because few people cover many roles: searching disappears, approvals run automatically and statutory retention requirements are met without extra effort. DocuWare scales from a handful of users to enterprise level.

What does audit-proof archiving mean?

Documents are stored so that they cannot be changed or deleted unnoticed afterwards – including logging of all access. That is the prerequisite for retaining tax-relevant records digitally and being allowed to dispose of paper originals.

How long does introducing a DMS take?

Smaller environments are productive within a few days; larger projects with data migration and several workflows take a few weeks. We start with an analysis & consulting phase and deliver a realistic implementation plan.

Can existing paper archives be migrated?

Yes. As part of our data migration & digitization service we scan, index and structure your archive – on request including privacy-compliant disposal of the paper documents.
